ENGLISH WRITING TIPS

The ideal English text is clear, concise and easy to understand. Even advanced level academic text books are written in plain English words. So when you write, try to keep your sentences clear and well structured so that your readers will have no difficulty understanding them.

Don't try to use complex sentence patterns with the sole objective of impressing the reader. Chances are they wouldn't. Worse still, they might abandon your text before finishing it.

When writing in English, keep the following rules in mind:

Use simple language. That doesn't mean that you should only write short, simple sentences. Instead, use a variety of sentence patterns: some complex, some simple and some compound. Just make sure that your sentences are not ridiculously long.

Make your text interesting by using a wide variety of sentence patterns. For example, use participle clauses, relative clauses, prepositional clauses, infinitive constructions and if-clauses.

Keep subordinate clauses short

Participles and infinitives are useful for shortening lengthy subordinate clauses. It is also a good idea to restrict their number to a maximum of three. Not that you can't have more than three subordinate clauses in a sentence. You certainly can, but the more clauses you have in a sentence, the more complex it gets. What's more, when your sentences are extremely long, you are invariably going to make mistakes.

Use verbs instead of nouns. It is not always possible, but if it is then do it. For example, instead of writing the meaning of this is that```, you can write this means that ```

Active verb forms

Use active verb forms instead of passive verb forms. You don't have to completely eliminate passive forms from your writing: sometimes they are more appropriate than active forms. But as a general rule, your text should have more active verbs than passive ones.

Avoid slang and technical jargon

Slang is not considered appropriate in writing. Of course, you can use it

while chatting, but avoid it in all other forms of formal or academic communication. You must also avoid technical jargon. These are words and expressions that only industry experts can understand. Avoid them, because a good piece of writing is easy to read and understand.

Try to put the subject close to the beginning of a sentence. Of course, you can use introductory clauses, but keep them short.

Discuss just one main idea in a paragraph. Summarize this point in the first sentence. Use the next few sentences to support this idea. The last sentence in a paragraph should make a smooth transition to the next paragraph.

Today, the new China has proudly celebrated her 35 th anniversary and now stands in full splendor and looks to the world with confidence. Tone & Style in Business Writing Tone is the element in your writing which says something about the relationship you have with your reader/audience and the attitude you have towards the subject. The tone you adopt in your business communications is therefore very important. For example, in a business letter or spoken presentation, your tone will normally be respectful and cooperative. Your tone will reflect your position within the company. A respectful, uncertain tone is usually used with your superiors, a more commanding tone is used with your subordinates, while with your colleagues a more friendly, helpful tone is used. Style is the way you use words and expressions to achieve a certain effect or overall impression. Quite often, styles in writing can be seen as formal, neutral or informal.. Achieving a tone to suit the business audience Good readers in the business world know how to choose their words. The communication must achieve its aim or time and energy are wasted. If you want to be a good writer and speaker, good grammar and spelling are necessary but not enough. Your words must be chosen with care and tested for their suitability for each particular writing task. Good writers can write upwards, horizontal or downwards without offending their readers. They use the most suitable words for their position and particular business. The idea of tone is very important to the business communicator. Since readers can be insulted or offended not by the message but be the manner of expression, an otherwise perfect memo or letter could quite possibly cause a breakdown in communication. Chapter one—Principles of Business Communication 4C原则:Conciseness(简洁), Clarity(明晰), Correctness(准确),Courtesy(礼貌) Effective written workplace communication needs to show: ● A style which is clear and concise(conciseness, clarity) ● A tone which is polite but not overly modest (courtesy) ● A presentation which contains no errors of format and language (correctness) Workplace writing types: ●Informative writing: inform the reader about a product or service The aim is to improve understanding. ●Persuasive writing: persuade the reader that this product or service is a good one and worth buying The aim is to stimulate emotions and develop enthusiasm. Levels of formality in business communication: ●Bottom-up communication: To a superior=more formal ●Top-down communication: From a superior=more formal ●Sideways communication: To and from people of same rank=less formal Chapter two—Writing Memos Memos writing guidelines: A memo (memorandum) is an administrative document. It ●Is used only for communication within a company. It is an intra-company document and is not used for inter-company communication ●May be distributed top-down ( from superiors to subordinates) or bottom-up ( from subordinates to superiors) ●Deal with a single topic ●Names its sender(s) and recipient(s) clearly ●Has short, easily readable paragraphs ●May have sub-headings and numbered sub-sections ●May be distributed electronically or in hard copy Using the right language is not only a question of selecting correct vocabulary and grammar. Speakers and writing also need to take into account: ●who they are addressing( the audience) ●why they are speaking or writing( the purpose) ●how they are communicating( the method) Using formal language increase the ‘social distance’between a sender and a recipient.
