一、Invitation Letters (邀请信)

邀请信一定要写得明确、完整,不可留下任何疑问使收信人捉摸不定。要写明场合、地点、(年)月、日及具体时间;被邀请者收到信后,应该给予及时的、有礼貌的答复。

二、A Letter of Thanks (感谢信)

收到别人赠送的礼物,或得到别人的某种帮助后,都应写信表示感谢。感谢信的特点是:时间及时、简明扼要、着重是由、感谢真诚。此外,应充分表达自己的谢意,切不可给对方草率的印象。可借助谈对方的帮助来进一步表达感激之情。言辞应真挚、得体。

内容:感谢信可分为三个部分:指出对方帮助自己的事情,表示感谢;展开叙述这件事,再次感谢;并可表示希望回报对方

三、A Letter of Congratulations祝贺信

祝贺信一般只有两三段,其结构是:

1.首先表达得知消息的高兴心情,常用的句型:

2. 表达祝贺之意常用的句型:

四、A Letter of Consolation(慰问信)

五、A Letter of Introduction(介绍信)

介绍信要写得简短,应包含被介绍人的姓名、职业、以及介绍他们相识的目的、原因。在某种意义上就是恳求友人对第三者给予照顾和帮助,所以还要向收信人表示谢意。

六、A Letter of Certification(证明信)

证明信应包括被证明人的工作单位、职务、工作内容、能力和态度、为人等。通常以“ To Whom It May Concerned(致有关人士)”为称呼语。

七、A Letter of Complaints (投诉信)

投诉信应包含以下的内容: 投诉的原因, 投诉的目的,希望对方解决问题.

八、 A Letter of Application/ An Application Letter(求职信/申请信)求职信

求职信属于正式信函,一般分为三段。第一段说明得知信息来源的渠道并说明写信的目的;第二段介绍本人的年龄、学历以及能胜任此职有关的经历和资格,要突出履历的精华;第三段希望聘方给予考虑并提供联系的方式。写求职信的常用套语如下:

1.今天…有招聘…的广告,我想申请这一职位。

I wish to apply for the position of … advertised in …

2.我对…这一职位很有兴趣,我想申请这一职位。

I am very interested in the position as …, and I’m trying to apply for it.

3.看到你们在…上征聘一名…的启事,我赶写这封信以谋求这一职位。

4.我相信我有能力和经验担任…这份工作。

九、备忘录(Memorandum/Memo)

备忘录是公司内部最基本、最常用的一种信息传递方式,如会议安排、情况报告、责任确认、问题处理等。备忘录中To中一栏的发笺人和From一栏中的收信人可以是姓名后加上职位和部门,也可只写职位。收人的姓名前可写Mr. Mrs. Dr. Ms等,而发笺人的姓名前则不写。Subject说明备忘录中的主要部分,应力求简明、确切。最后,结束时不用签名。如果备忘录同时发给其他人,在末端cc:/c:(转发)之后写上其姓名即可。

十、请假条(Asking for Leave)

请假条包括病假条(Asking for Sick Leave)事假条(Asking for Business Leave)和续假条( Asking for an Extension of Leave)等。写请假条要注意把请假时间写清楚,而且请假的理由要充分。如果有证明请假的原因的证据,比如医生证明、电报等最好随假条附上。抬头写上“Asking for Leave”字样,日期写在右上角。写作格式与写信相同。

十一、通知(Notice)

通知是上级对下级、组织对成员部署工作、传达事情或召开会议所使用的一种文体。同级单位有什么事情要互相讨论或协商,也可以互发通知。另外,凡婚丧喜庆及某一特殊事物发生,对至亲好友或有关人士都应该及时发出通知。通知

有两种:一种是以布告的形式,把事情通知有关人员,如学生、教师、会员、读者、听众、观众等;另一种是以书信的形式,把事情传达给有关人员。通知有一定的格式和要求,要言简意赅,更要及时。

写作格式和内容:在上方居中写“Notice”或“NOTICE”一词作为标志,正文的右下角写出通知的单位名称或人名和日期。出通知的单位以及被通知的对象一般都用第三人称。如果正文前用了称呼语,则用第二人称表示通知的对象。

十二启事、通告

机关、团体或个人需要公开向大家说明或者希望大家合作办理某件事情时,把它简明扼要地写出来,张贴在公共场所或登在报刊、杂志上的短文,就是启事/通告。启事/通告不具备法令性、政策性,因而也没有强制性和约束性。启事/通告的对象可参与启事/通告中所要求的事,也可以不参与。启事/通告使用的语言要求朴实,简洁,文字篇幅不宜过长。启事/通告的内容包括标题、正文(活动内容)、时间、联系地址、联系人及电话号码。启事/通告的标题要求醒目,能够吸引读者的注意。

启事/通告的写作格式:

1)在正上方写启事/通告的名称,如Found(失物招领), Contributions Wanted(征稿启事), Correction(更正)等;

2)在低于启事/通告名称的右上角写启事/通告的日期,如February 2, 2004 或2 February, 2004;

3)在正中写启事/通告的内容,一般应包括目的、意义、内容、形式、要求等;4)末尾右下方写启事/通告者的单位和姓名。

启事/通告的种类繁多,分为以下几种:遗失启事、招领启事、征稿启事、迁移启事和更正启事等等。

十三、海报(Poster)

海报通常是用来告知广大群众有关戏剧、电影以及球赛等活动的一种带有宣传广告性质的招贴。通常贴在闹市街口、行人稠密引人注目的地方。海报大都用手写。正中往往把海报的内容作为标题大字标贴,如“Football Match”, “Film News”或注明“Poster”等字样。正文部分为有关的具体内容、活动时间、地点以及参加规定、主持或举办单位等。其书写形式不拘,可按行排列,也可分项书写,主要在于实际效果。出海报的单位署名放在右下角,日期位于署名的下一行,靠左下角。

十四、广告宣传

招聘广告

招聘启事的写作内容包括一下三个方面:

1、标题

招聘启事可以简单地由事由和文种名称构成。如“招聘启事”、“招工启事”或“招贤榜”。

2、正文

招聘启事的正文较为具体,需要说清楚下列一些事项。

1)招聘方的情况:包括招聘方的业务、工作范围及地理位置等。

2)对招聘对象的具体要求:包括招聘者的工作性质、业务类型、年龄、性别、文化程度、工作经历、技术特长和科技成果等。

3)招聘者受聘后的待遇:一般要写明月薪、年薪数额或薪酬面议。

4)其他情况:应聘者须提供的证件、应办理的手续、应聘的具体时间、联系地址、联系人和电话号码等。

3、落款

落款要求在正文右下角署上招聘单位的名称和时间。题目或正文中已有单位名称的省略不写。

商品广告

商品广告是商业部门为了传播商品信息,供应市场,满足人们需要的一种宣传文书。这种广告可张贴、广播、登报、录像录音、电视播映,也可用吊牌、挂牌、灯箱进行宣传。制造商品广告可用文字、绘画、摄影展出等方式。

商品广告没有固定的格式,根据不同的广告形式,采取不同的写作或制作方法。但在制作商品广告时,要熟悉商品的内容,如商品名称、用途、规格、性能、特点、注意事项等。还应标明生产单位、经销单位、地点、时间、经营方式等有关情况。

十五、商务书信(Business Letter)

结构

①信头(The Heading):发信人的地址和发信日期

②封内地址(The Inside Address): 收信人的名称和地址

③称呼((The Salutation)

④事由(The Subject Heading or Caption)

⑤开头语(The Opening Sentences)

⑥信的正文(The Body of the Letter)

⑦结尾语(The Closing Sentences)

⑧结束语(The Complimentary Close)

⑨签名(The Signature)

⑩附件(The Enclosure)简写Encl. or Enc.

此外,还有附言(The Postscript)简写P.S, 编号(Serial Number), 查号(Reference number)或主办人代号(Identification Mark),可根据具体情况酌情使用。

十六、电子邮件(Email)

电子邮件的格式通常包括收件人(To)、发件人(From)、主题(Subject)和正文内容。邮件正文内容的书写格式与常规信件相同。
