商务信函的基本结构

这里我们介绍一种商务信函中最通用的格式-齐头式。主要特征就

是每行均从左边顶格写常常采用开放式的标点方式即除了信文部分其它部分在必要时才使用标点。信中各段落之间均空一行。

信头就是指书信中发信人的地址和发信的日期等。

通常情况下公司都会专门印制带有信头的信笺纸包括发信人的姓名地址电话传真等。当我们撰写传统信件时直接使用这种信笺纸就可以。

这部分内容是为了方便今后查询信件用的。

这里就是指收信人的姓名和地址一般写在信笺的左上方。收信人名称地址的格式和信头的格式相同但必须把收信人的姓名一

并写出。另外如果不是完全公事化的书信往来或者已经从公事的关系渐渐发展成为带有私人性质的友好信件往来由于称呼这一栏的内容已经说明了收信人的身份所以可以不必填写封内地址。

事由也就是我们通常说的主题可以直接写明信件的重点让人不必读完全信才了解到信的内容。所以事由要写得简明扼要。

指对收信人的一种称呼。

较常使用的有 dear sirs, dear madam, dear mr. _______,。称呼后面的标点一般使用逗号。称呼里的第一个字母要大写。

开头语没有统一的格式但习惯上先用客套的语句把收到对方来信的日期主题及简单内容加以综合叙述使对方一目了然这是答复哪一封去信的。如果是第一次通信也可以利用开头语作必要的自我介绍并表明目的要求。开头语一般与正文分开自成一节要求简单明了。

信的主体。一封信件的优劣完全要看正文写的好或坏。我们会在后面继续讨论写作商务信函的一些技巧、规则。

结尾语一般用来总结文本所谈的事项提示对收信人的要求如“希望来信来函定货”

“答复询问”等另外也附加一些略带客套的语气。正文结束后另起一段写结尾语。结束语是结束信函时的一种客套应该与前面的称呼相呼应。例如:“sincerely, ” “bes t

regards, ”or “yours truly, ”结.束语写在结尾语下隔一行只有第一个字母大写后面加逗号。

写在结束语的下面签上写信人的名字。如果是传统的信件写信人最好亲笔签上您的名字因为用印章的话说明该信件并非本人亲自过目只是通函而已不为人重视。签名的下面最好写上发信人的职位。

如果信中有附件应在左下角注明 encl. 或 enc. 。
