Section one: Essential qualities

Part one: Some rules of good letter writing(Focus & difficulty)

Part two: Eleven writing tips (Focus & difficulty)

1. To join two independent clauses, use a comma(逗号)followed by a conjunction (连词), a semicolon(分号)alone, or a semicolon followed by a sentence modifier(修饰词).

which are not essential to the sentence’s meaning.

3. Do not use commas to bracket phrases that are essential to a sentence’s mean ing.

4. When beginning a sentence with an introductory(adj. 介绍的,导言的)phrase or an introductory (dependent) clause , include a comma.

5. To indicate possession(名词所有格), end a singular(单数)noun with an apostrophe(表示所有格和复数的)撇号,省字号即― ’ ‖followed by an ―s‖. Otherwise , the noun’s form seems plural(复数).

6. Use proper punctuation(标点符号)to integrate a quotation(引文)into a sentence. If the introductory material is an independent clause, add the quotation after a colon(冒号). If the introductory material ends in ―thinks,‖ ―saying,‖ or some other verbs indicating expression, use a comma.

7. Make the subject and verb(主语和谓语)agree with each other, not with a word that comes between them.

8. Be sure that a pronoun(代词), a participial phrase(分词短语), or an appositive (同位语)refers clearly to the proper subject.

9. Use parallel construction(并列结构)to make a strong point and create a smooth flow.(语句通顺、流畅).

10. Use the active voice(主动语态)unless you specifically need to use the passive (被动语态).

11. Omit unnecessary words.

For above items, the teacher should translate and explain the contents on the book in details. (Page 6-11)

Section two:The structure and form of business letter

Part one: The structure:

.一般英语商业书信从结构上可分为:

信头、日期、封内地址、称呼、事由、信的正文、结尾语、结尾礼词、签名、附件、其他(辨认代号、副本抄送、附启)

(一)信头(Letter Head) :

信头一般都是事先就印好的,它表示发信人公司行号名称及地址,使收信人一看就知道发自何方、何处、核实,也便于复信时参考。包括发信人的姓名、地址、网址、电子信箱、电报挂号、电话号码。有的信头还包含公司负责人的姓名和职务职称。

1.信头的写法

发信人地址的具体写法:

1.门牌号码和街名(或邮箱号),如151 Gower Street

但有些不写门牌号与街名,而写出信箱号,如P.O. Box 1079,既Post Office Box 1079的缩写,第1079号信箱。

2.城市、邮政编码、国家名

例如,London,Swg250Y, England

Toronto 4, Canada

美国地址在城市名称后应写州名和邮区号,例如,Columbus, Ohio 43210 ,U.S.A.

城市名与国家名之间用逗号隔开

2.编号(Reference No.) 和日期(Date):

有的信头下有编号。编号是供参考用的档案编号(a file number)、部门(departmental code),有时还可以使口述人和打字人的名字缩写,即辨认代号。作用是能使复信与先前发出的信函联系起来。

编号又分:

你方编号(Your Reference No.),

我方编号(Our Reference No.), 例如:

Your Ref : B-1549 Your Ref : JBD/WM

Our Ref: A-3450 Our Ref: WDW/LP

应据信头右下角三至六行处。打日期应注意下列各点:

1、日期可按―日、月、年‖的次序排(英国),如15 Jan., 1999(国际通用),也可按―月、日、年‖的次序排(美国),如:Jan. 15, 1999

3、月份要写英文名称,不能用数字代替,例如,3/9/99 ×

4、月份名称可用缩写,如Aug.代替

August; Oct.代替October,但May,June ,July本身很短,不再减缩。

5、日期可用基数词,也可用序数词。

一般用基数词,较少使用序数词

基数:3 November, 2000(3 Nov.,2000)

November 3, 2000 (Nov.3,2000)

序数:30 rd November, 2000

November 30 rd, 2000

6、月份和日期之间不要用标点点开,年份之前,必须用逗号点开

例如,Oct.1,2000 (或October 1,2000)

30 Nov.,2000(或30 Novermber,2000)

日期的几种常见写法:

1)June 5,2000 (5th June,2000)

2) 1st October,2000

(1st Oct.,2000或October1,2000)

3) 30 Nov.,2000 ( 30 Novermber,2000)

信头和日期的写法:

(三)封内地址和行名(Inside Name and Address):这是指收信人的行号和地址。距日期两行,打在左边。

写上封内地址的益处:

1)发信时可与信封上地址相互对照,以免发信时发生错误

2)收信人读信时可以相互对照

3)便于查阅

注意:如需注明对方经办人,希望收信商号将信迅速交将经办人办理,可以在收信人名称住址下面或右边加Attention或Attention of 等字样。

写封内地址时对公司的称呼:

1)在公司的名称由人的姓名组成时可以使用Messrs表示客气

Messrs. John Smith & Co.

2)公司的名称是非人名的,则用公司的全称,如

London Export Corporation

China Chemical Co.

3)即使公司的名称由人名组成,也不应该加Messrs的情况,例如

a. 写给公司中某一个人的信,例如

Mr. Charles Snow

Robinson & Co.

b.公司名称中已包括其职衔

Dr. Haris & Co.:

(四) 称呼(Salutation):

写信人对收信人的一种称呼,其位置是在封内地址的下面空两行,并与之平头

1)用―Dear Sirs, ‖ 不能单独用―Sirs,‖

2)美国人用―Gentlemen:‖,更加普遍

(不能用单数),单数时称―Dear Sir‖

3)如果是女性公司,则用―Dear Madams,‖

2、公事函件:

― D ear Sir,‖对一般机关团体负责人适用,

此外公事函件还可以用―To those who may be concerned,‖

3.、半公半私函件,且给个人的信件

1)给男士,用―Mr.‖ 或―Esq.‖

a) Dear Mr. Black,

b) Esq.=Esquire 。在英国,它是对一般男性的敬称,在美国Mr.是很通用的称呼,Esq.则是对有声望的男性的尊称,如法官、地方长官等。注意:用在姓之后

Dear Black, Esq.

2)给女士,用―Miss‖,―Mrs.‖,―Ms.‖,最好用―Ms.‖,例如,Dear Ms. Black,

称呼后面的标点一般用逗号(,),不用冒号(:)或分号(;),但美国和加拿大等地的来信中,Gentlemen 后面也用冒号(:)

(五)事由(主题)The Subject Heading 或Caption:

事由(标题)的作用是让收信人对信的主旨一目了然,写在称呼语下面的两行,一般是在信笺中间的位置,可在前冠以

Subject或Re:的字样。

事由要简单扼要,说明商品名称、数量、信用证或合同号码等即可。

(六)信的正文Body of the letter

大多数书信遵循三段的原则,即三个部分:

(1)Opening sentence、开头语,一般第一部分,自我介绍或说明来信已收到。(2)Body,正文,第二部分提供信息或说明事实。

(3)Closing sentence,结尾语,第三部分设计将来的打算和行动。

注意事项:

1)段与段之间一般空两行

2)如果信的正文很长,一页纸不够用而需两张或数张联页,应在第一页的右下

打正文。这是为了避免第一页和第二页,第三页在发信时误置。

3)用联页时不要用已有信头的信纸,这时名称可尽量缩写,样式如下:

a) -page2-The Universal Trading Co.,Ltd.Jan.7,2000

b) .Mr.T.N.L., March 10, 2000 P.2

4) 正文的联页至少有两、三行内容

一般用来总结本文所谈的事项,提示对受信人的要求。如希望来函或电报订货,答复询问或作必要的声明等,另外也附加一些略带客套的语气。他在正文结束之后,另起一段。

1)用分词短语开始的:

Awaiting your good news, we are,

Looking forward to your early reply, we remain,

Looking forward to receiving your shipping advice, we remain,

注意:句末用逗号,不用句号。

2)用完整句子的:

We await your good news.

We hope to receive your early reply.

We look forward to your shipping advice.

(七)结尾敬语(Comlimentary Close):

1)商业函件用:

Yours faithfully,Faithfully yours,

Sincerely yours,Sincerely yours

2)公事函件用:

Respectfully yours,Yours respectfully

注意:

1)结束礼词写在结尾语下隔一行,正中或略向右边写起

2)只有第一个字母大写,后面加逗号

3)欧洲信函把Yours放前,美国则把副词放前

4)用Yours而不用Your,与Yours连用的一定是带-ly的副词。

(八)签名(The Signature):

1)在结束礼词的下一行打上公司名称

2)由负责人签名(手签)

3)打上负责人的签名

格式一般如下:

Manager 注意:

p.p. ,有时候有资格签署的人不在公司,常以授权(power of attorney)授权一负责的雇员签署,在这种情况下,则应在公司行号前写上P.P.( Per Procuration)或Per Pro.,它的意思是代理。也有用for代替p.p.的。

(九)附件(Enclosure):

如信中有附件时,应在左下角注明Encl.或Enc.(缩写),如果附件不止一件,应注明2 Encls.或3 Encls.等.

例如:

Encls. :2 Invoices (发票二张)

Encls. : 1 B/Lading (提单一张)

1 Photo (照片一张)

1 Certificate (证明书一张)

(十一)其他

1)副本抄送(Carbon Copy):如果写信人希望信件内容为更多人的知晓,那么再Enclosure的下方必须注明c.c.的字样,然后打上抄送单位的名称。c.c .可以大写,也可以小写,其后跟冒号

c.c.: Mr. Bruce Patco

C.C.: Public Relation Department

2)主办人代号,又叫辨认代号identification mark

速记员的姓名的第一个字母连续打出,两者之间加一斜划,或加冒号。

例如一个名叫William L. Rich的人向一位名叫Margaret Davis 的秘书口授一封信,他们可以缩写成

WLR/MD WLR:MD mlr/md

3)附笔(再启)(Postscripts)

信写完后,如果想起还有要紧的话要说,可以在信末加P.S.,然后由发信人签署本人简笔签名(本人姓名的每一个字母,如Park Davis,只签P.D.)。郑重的函件一般不用P.S.,说明写信人办事不够周密。

格式一般如下:

Notes: Dissimilarities in letter writing 英、美书信写法的不同之处

1、英式的书信格式是缩行式或混合式,美国则是平头式.

2、称呼用法。英国一般用―Dear Sirs,‖后用逗号。美式则用―Gentlemen:‖后用冒号。

3、结尾语的用法。英式习惯用Yours sincerely,Yours faithfully,而美式则相反,习惯于Sincerely yours ,Faithfully yours。

4、日期写法的区别。英式是按日-月-年的顺序。美式则按月-日-年的顺序。而日期写法的国际通用格式是按日-月-年的顺序排列。

In this chapter, we mainly study the source of gaining the information, the writing rules of establishing business relations letters and some useful phrases and sentences about it.

1. tell him the source of information and willing to enter into business relations,先告

诉对方我方是如何获悉他们的经营范围和地址的,表示我方愿意与对方建立业务关系。
