开始使用My Life Organized昨天在My Life Organized的网站上买了MLO的Pocket PC版本,花了我200多人民币,挺心疼的,不过想想也算是一劳永逸了,再也不为到底用哪种GTD工具而犯愁了。

在选择GTD工具上我可真是浪费了不少时间,从最开始用的MLO(那时候用的是破解版本,不过总弹出提示,烦得不行)到AgendaOne,后来又换成了Pocket Informant,几经折腾,现在总算定下来了。

想想这事儿觉得挺有讽刺意味的,因为GTD本来是教你如何管理个人时间的,但却由于学习GTD本身浪费了很多时间。

所以在此告诫正在了解和使用GTD的朋友,不要在选择、学习GTD理论和工具上耗费太多精力,我们应该把更多的精力放在行动上。

只要能实现目的,工具越简单越好,最好一目了然,不用更多的学习就能熟练掌握。

而My Life Organized 可以算是这样的一种简单实用的工具,所以在这里向大家介绍一下My Life Organized。

My Life Organized共有三个版本:专业版、免费版以及Pocket PC版本。

专业版和Pocket PC版本提供了45天的试用期,如果还要使用的话是要付费的。

而免费版只有部分功能能够使用。

My Life Organized的界面很简单,比起前一段时间使用的PocketInformant来说要容易上手的多。

在每一个任务后面都会显示任务的截止时间,两天及两天以后的任务用蓝色显示,当天的任务用橙色显示,过期的任务将会以红色显示出来,非常的清晰。

在Context见面,你可以编辑你的情境。

另外,My Life Organized 还可以和Outlook以及Mindmanager进行同步。

手机版My Life Organized完全使用指南9月26日早晨8:40分,打扫完办公室的卫生后,我拿出包里的Dopod D600手机,打开MyLifeOrganized软件,检查一下今天都要完成哪些事情。

左边的截图所显示的就是我今天或者在包括今天的最近几天内要完成的任务清单(To-do List)。

如果你不熟悉这样的软件界面的话,你完全可以将它想象成为写在纸质笔记本上的任务清单。

事实上,我发现身边的很多人其实都在使用任务清单来让自己变得更有效率。

他们的做法是:将今天所要完成的任务写在纸质的本子上,或者干脆是写在随手拿来的一张纸上,完成某一项任务,就用笔将其划掉,接下来将注意力放在第二个任务上,开始行动去完成它。

我母亲就是这种方法的爱好者,每天早晨她都会把今天要完成的事情列个单子,然后逐一去完成。

而且我发现她这种习惯的养成完全是自发的,她从来没读过时间管理的任何书籍,但是其实她已经将时间管理的方法贯彻于自己日常工作中了。

所以就此看来,任务清单这样的东西是符合人们组织和计划事情的规律的,应该具有普遍的适用性。

如果你能够将这种方法实践于个人的工作、生活当中,的的确确能够提高你的做事效率。

这也是为什么我要推荐MyLifeOrganized这个软件的原因,它的核心部分其实就是一个任务清单,只不过它比纸质的清单操作更为便捷、更为智能一些而已。

在有规律的对这个清单作出补充修正后,你只需要每天早晨查看这个清单就能知道今天你要去做什么事情,从而避免了去考虑”今天我要干什么呢?”这个问题,而将更多的精力放到如何做好某一件事情上。

言归正传,先来让我们熟悉一下MyLifeOrganized中任务清单的界面,由于我需要能够随时随地的查看我的任务列表,所以我使用的是这个软件windows mobile 平台下的手机版本。

你在这篇文章以及之后的文章中看到的所有截图都是我手机上的截图,当然,为了更好的对MyLifeOrganized进行说明介绍,我会添加一些新的项目和任务,以及删除一些比较私密性的任务。

无论如何,目的是更好的为大家介绍这个软件。

通过上面的截图我们可以看到,在每一项任务清单的左侧都有一个小方框,它的作用是当我完成其中的某一项任务之后,通过点击它,任务就会被划掉,并且在界面中消失,就好像用笔划掉写在本子上的任务清单一样。

而方框中间的上下箭头表示这个任务是循环出现的。

例如,我会每隔两天查看一下我的hotmail邮箱,所以这个任务就会被设置成一个循环性的任务,也就是说这个任务会每隔两天出现在我的任务清单上。

右侧是每一项任务的截止时间,橙色的”today”表示今天必须完成的,蓝色的”星期五”表示在星期五之前必须完成的,同样是橙色的”tomorrow”当然是指截至明天必须完成的,而类似于”yestday”这样的红色的截止日期最好不要让它出现在你的列表中,因为那代表你昨天就需要完成的任务而没有完成。

MyLifeOrganized软件中截止日期这种颜色上的不同可以让我们直观的了解到任务的轻重缓急,同样的能代表任务重要性的就是任务清单的顺序,最重要的任务会处于清单的最顶端,而处于清单底部的任务当然就是最不重要的了。

截止日期右边的铃铛图标代表这个任务设置有定时提醒功能,一般我会将类似于”记账”、”吃药”或者”情人节提前订花”等容易忘记的任务设置上提醒功能。

同样位于右侧的文本图标表示此任务有备注说明文字。

从3.5.0版本之后,MyLifeOrganized手机版本还添加上了星形标记图标,你可以给个人认为重要的任务标注上星型图标,然后点击右下角的”more”图标,在弹出的对话框中选择”Starred”选项,只查看标注了星形的任务清单。

说到这里,我们来看一下以不同方式来查看任务清单的方法。

刚才讲到的是以标注了星形图标的方式查看任务清单,而通过点击”more”图标,选择不同的选项,我们还可以以”Active Action(所有行动)”、”Active Action by Context(不同情境下的所有行动)”、”Active Action by Project(不同项目下的所有行动)”、”Next Action by Project (不同项目下的下一步行动)”这几种方式来查看任务清单。

其中的”Active Action(所有行动)”方式,是MyLifeOrganized的默认显示方式,也就是我们通常看到的任务清单的显示方式。

下面几幅截图分别是以不同的方式查看任务清单的效果。

查看完任务清单后,我就从第一项任务开始我今天一天的活动。

今天需要完成的第一项任务是”草拟《固定资产管理办法》”,打开电脑,双击word图标,开始写作。

忙活了大概3个小时之后,这项基本完成了。

休息一会,这时候我可以查看一下在电脑上还需要做那些事情,点击任务清单下方过滤器旁边的小箭头(如下图),在下拉菜单中选择”电脑”,这样就将和目前情境(Context)不相关的任务过滤掉了。

什么是情境?简单来说,就是完成一项任务的限制条件,比如你要上网查一些资料,网络就是情境,因为没有网络你就不能完成这件事情。

你要给女朋友买一个生日礼物,出门就是情境,购物总是要出门的吧?网络购物?那么网络就是情境。

给任务设置好情景之后,你就可以按照情境的不同查看任务清单了,这样不仅可以过滤掉和当前情境不同的任务,使你的注意力更加集中,还可以增加任务完成效率。

比如你要出门给女朋友买生日礼物,通过查看”外出”这个情境,发现”外出”这个情境下还有其它几个任务,那么顺道也就可以去银行把信用卡的账单还了,再给晚上做饭买点菜。

通过查看”电脑”这个情境,我发现还有”查看并回复hotmail邮箱中的邮件”和”完成主题设计的侧边栏部分”这两个任务,第一个任务比较简单,所以作为休息,我接下来完成这个任务。

第二个任务比较有难度,需要开辟出大块的时间来完成,早上已经完成了管理办法的写作,所以我准备将它安排在下午时间段来完成,这样可以确保有大块的时间来集中注意力,较高质量的完成这个任务。

一般来说,我不会给一天之内安排超过2个有难度的任务,否则就会很难完成一天的任务了。

实际上,MyLifeOrganized软件还提供了另外一种过滤功能–时间过滤。

上面提到的情境过滤可以简单的理解为地点的过滤,你可以按照在家、在办公室、出门在外三个不同的情境来查看不同的任务清单,而时间过滤功能是按照你当前所拥有的时间来查看任务清单的,什么意思呢?比如由于堵车,对方告知你可能20分钟后才能到达约会地点,你就可以使用MyLifeOrganized的时间过滤功能来查看在这20分钟之内,你能干些什么事情。

点击任务清单(to-do)界面下方情景过滤器左边的上下箭头图标(如下图所示),在弹出的对话框中选择20 minutes (20分钟),日期选择今天,MyLifeOrganized就会为你列出最少需要20分钟才能完成的任务清单。

当然,上面提到的情境和完成一项任务所需要的时间都是在编辑任务时已经设置好的,这样才能以不同的方式方便的查看任务清单,如何在MyLifeOrganized中安排和编辑任务,我会在下一篇文章中作详细的介绍。
