《商务英语写作》课程教学大纲一、教学目的本课程的教学目的是培养学生掌握商务英语写作的基础知识,商务英语函件的基本格式和写作技能,了解主要的商务英语写作类型,提高商务英语书面表达能力,为毕业后成为适应社会需要的应用型涉外商务工作者打下良好的基础。

通过学习有关商务活动的实用语言材料和实际操练,学生应能独立撰写一般的英语商务函件,意思表达清楚,用词比较准确,无重大语法错误。

二、学习要求本课程终结时,学生应达到如下要求:1. 熟悉常用商务英语文体。

2.能熟练掌握英语书信等商务文件的写作格式。

3.能较熟练地运用英语商务书信中常用的表达方式。

4.能结合各种实际情况,撰写用词语气都能较清楚表达写作者意图的一般商业书信等商务文件。

三、教学内容结构《商务英语写作》课程教学内容包括商业书信等商务文件的写作基础知识,包括商函、业务报告和会议记录等的格式、文体、语气、常用词语和标点符号等;基本的商务文件类型的写作技能,如一般商业函件及事务性函件包括介绍信、邀请信、祝贺信、求职信、证明信等,还有业务报告、会议记录和通告等。

要求学生在学习的过程中循序渐进,打好基础,每周学完一个Task,并完成课后练习及网上作业。

四、教学方法指导1.使用“过程体裁教学法”根据远程开放教育的特点,集中面授辅导除针对教学中的重难点适量讲解与答疑外,主要应为学生提供运用英语进行交流的机会。

辅导课以学生为中心(student-centered),教师的辅导围绕学生的活动来展开,以学习小组为单位,使用“过程体裁教学法”,结合传统教学与网络教学的优势,融合教与学两方面的内容,体现准备(范文分析)、初稿(模仿写作)、修改(互评)阶段和定稿阶段,以激发学生运用通过阅读获得的知识或信息来进行交流、表达思想情感的兴趣,同时也给学员提供相互学习,相互交流学习方法的机会。

2.重视过程学习指导网上统一安排4次形成性考核。

作业在网上平台公开互动交流,杜绝抄袭,提倡独立思考和独立完成。

The format of a memo
• Most companies have specially designed memo paper. Memo paper pads are also available in many stationery stores. But no matter what sort of memo paper you have, it should present a right format for memo writing. The right format of a memo is made of heading and body. There are four lines in the heading part, which are To Line (indicating who reads the memo), From Line (indicating who writes the memo), Subject Line (indicating what the topic is for the memo) and Date Line (indicating when the memo is written). The Body part is the message. As a memo is used for inner communication, it is usually written in a way not very formal. Some people like to put a signature when ending a memo but it seems unnecessary as there is a “From Line” above. Memos

Tips for a good memo body (additional):
• The body of the memo carries a clearly structured message, which is often written in short numbered paragraphs. The body, including the subject sentence, should be blocked to the left margin. The body should be written in plain English to present readers with an objective and factual description of the topic.
✓ A memo written to someone less familiar, particularly to someone in a higher position in the company, can be as formal as any formal business letters.
• Memorandum: a Latin word which means “thing to be remembered”. Here it refers to a written record or communication, as in a business office.

Introduction(概述)1) A memo is a clear, short, effective and concise document that allows you to communicate your ideas and initiatives in writing. It is commonly used for routine matters. It can be used for conveying messages in writing for comments. Memo may be sent upward, downward, or laterally within the organization. Most information transmitted within the office is by memos.备忘录是一种清楚、简短、有效、简明传达观点和行动方案的文书。

2) Memos and lettersMemos and letters are the two most common types of business communication.相同点:They communicate information and are commonly used in the world of business writing.不同点:Letters communicate with someone outside the organization. Memos are almost used to send information to colleagues, workers in other departments, and management personnel within an organization. The other important differences lie in:a. Memos are usually unceremonious in style;b. Memos are normally used for non-sensitive communication (communication to which the reader will not have an emotional reaction);c. Memos are short and to-the-point;d. Memos have a direct style;e. Memos do not have a salutation;f. Memos do not have a complimentary closing;g. Memos have a specific format that is very different from a business letter;h. Except for memos that serve as informal reports or instructional documents, the standard business memo format is not more than one page long.2. Memo format(备忘录格式)(本课重点)Standard memos are divided into segments to organize the information and to help achieve the writer’s purpose.1) Heading segment(标题部分)The heading segment follows this general format:TO: (readers’ names and job titles)FROM: (your name and job title)DATE: (complete and current date)SUBJECT: (what the memo is about, highlighted in some way)2) Opening segment(开始部分)The purpose of a memo is usually found in the opening paragraphs and is presented in three parts: the context and problem, the specific assignment or task, and the purpose of the memo.a. Finally, the purpose statement of a memo gives your reason for writing it and forecasts what is in the rest of the memo.3) Summary segment(总结部分)This segment provides a brief statement of the key recommendations you have reached. These will help your reader understand the key points of the memo immediately. This segment may also include references to methods and sources you have used in your research, but remember to keep it brief.4) Discussion segments(讨论部分)The discussion segments are the parts in which you get to include all the juicy details that support your ideas.a. Begin with the information that is most important. This may mean that you will start with key findings or recommendations.b. Start with your most general information and move to your specific or supporting facts.5) Closing segment(结尾部分)Now you’re almost done. After the reader has absorbed all of your information, you want to close with a courteous ending that states what action you want your reader to take. Make sure you consider how the reader will benefit6) Necessary attachments(必要的附件)Make sure you document your findings or provide detailed information whenever necessary. Language features
Discussion segment: facts and figures, separated into paragraphs,
each dealing with a particular theme; points are logically presented.

Body: Opening segmenerent memo formats have been causing
confusion between offices and partners. Starting on Monday, December 13th, all memos should be written using the following standard format.
As memos are meant for internal communication, the language can be made more relaxed than in business letters. However, that is no excuse for the sentences to be chatty or impolite.
All frontline staff are required to participate in the upcoming customer service training program.
We are happy to announce the addition of Sabrina Penang as office manager.

To: recipients’ names and job titles It is usually not necessary to use Mr., Mrs.,

We should take determined effort to respond positively to the need for producing a practical and visible plan that can bring about absentee reduction and efficiency promotion.
Closing segment: an action statement, requiring action from
recipient, or informing action to take.
Guidelines
All lines of the memo begin at the left margin. The text begins two spaces after the subject line. Memos do not begin with a salutation. No closing remark such as ‘Sincerely’ or ‘Best regards’
A firm action should be taken, so we can cut down absentee and be more efficient.

Definition
Memorandum, memo for short, is a written message sent by one person to another or a group of people within the same organization. This internal communication can be from superior to subordinate down the chain of command, e.g. from Managing Director to Accounting Manager, or the other way round; it can also go between equals, for example, from on section chief to another.
As far as formality is concerned, a memo is something between a business letter and a note.
In the way of the tone of memos, a major consideration should be over the status of the sender and the recipient in the organization.
