Some tips for you
• If the customer signs the letter of enquiry as “Mr. B. Green”, then begin your reply with “Dear Mr. Green” to add a personal touch to the letter. Don’t forget to mention the date of his letter and quote any other reference that appeared. Avoid opening sentence like “We are in receipt of your enquiry” or “In reply to your enquiry”. As these sentences tend to sound rather cold.

• If you do not have what the inquirer has asked for, but have an alternative (替代品), offer it to him or her. But do not criticize the product he or she originally asked for. If you are not able to handle the order or answer the enquiry, let him or her know directly. It is irritating to read a long letter only to find that the company cannot help.
