Multi-NationalRetail Organization SMAX enables evolution of IT service management into the busi-ness, driving down TCO, and improving scalability and automation for global retailer.Convergence of Disparate ITSM to Centralized ESM With a global presence of over 12,000 physical stores, welcoming over 13 million customers every day, the organization is working towards being the next global food e-commerce leader. T o realize this plan, internal IT systems and pro-cesses needed to be streamlined including an array of disparate IT service management (ITSM) tools used by IT teams in various coun-tries. As a first step, all IT departments were merged to make better use of resources and to create a home for a new, centralized Enterprise Service Management (ESM) solution. The team leading this charge was the ITSM and Enterprise Service Management Process and T ools Department. The department manager explains what was involved in this mammoth effort: “We needed to merge all our processes, such as how incidents, access requests, and change requests are managed. Once all pro-cesses were mapped, we then needed to build it into our new solution, and plan a train-ing schedule for users, including our HR and banking colleagues who wanted to take advan-tage of the new environment. In parallel, we had been investigating solution options. We have a rich history with Micro Focus (now part of OpenT ext™) and were excited to see the capa-bilities of Micro Focus (now part of OpenT ext™) SMAX, in particular the opportunity to deploy this in Google Cloud, our chosen environment, with native Kubernetes.”Managing over 50,000 Tickets Each Month Cloud experts and the customer’s operations team with Kubernetes skills worked very closely with OpenText™ to design the new SMAX-based ESM infrastructure. Deployment was uncomplicated and the customer was able to roll out the new system in only a matter of days. The enterprise service management solution is in use across three areas of the business: central IT, HR and an affiliated bank—each withtheir own SMAX tenant. It is very reliable and scalable; we have the freedom to create more workflows or onboard additional users faster and with less effort.”DEPARTMENT MANAGER Multi-national retail organizationCase StudyCase StudyMulti-National Retail OrganizationCentral IT manages ITSM across the organi-zation, using key modules including request, incident, problem, change, and configuration management with 3,000 service desk agents resolving L1 and L2 incidents. The single SMAX portal is accessible to all employees and gives them a modern user experience. The customer configured the service catalog based on em-ployee roles, entitlements, and department, so users can quickly find what they need among 1,000 offerings. This has led to a faster time to resolution and improved end-user autonomy and satisfaction. Central IT has curated 5,000 knowledge articles to help all employees, in-cluding the IT staff, and it has a significant posi-tive impact on agent workload and efficiency, and service quality.The Department Manager comments: “150,000 employees leverage SMAX to submit over 50,000 tickets each month—of which 10,000 are related to non-IT services. Half of all re-quests are submitted through the self-service portal, and we aim to increase this number.”There are also over 25,000 incidents raised each month, of which 90% are auto-generated from Event Management. The Department Manager continues: “The SMAX implementa-tion has grown organically and we are leverag-ing the functionality that supports IT services in other areas of the business for enterpriseservice management. Advanced SMAX func-tions are very helpful with this. SMAX Studiohelps us seamlessly and easily create new ap-plications and workflows aligned to our busi-ness process.”The HR department leverages SMAX to directlyprovide support and answers on HR-related is-sues, requests and questions. 60 HR subjectmatter experts use Live Support to answerover 5,000 requests monthly. HR also man-ages over 4,500 articles so that employeescan self-help, for example finding answers andpolicies related to annual leave and insurances.HR support agents increase their efficiency byusing the suggested solutions and answerspowered by embedded machine learning inthe Live Support dashboard. The suggestionsare automatically provided in the context of theend-user and their issues.SMAX is also leveraged by an affiliate com-pany offering banking services. The bankhas its own IT department and solutionswith 20 agents providing support at any onetime, and SMAX is used for two key func-tions. The first is to provide standard IT sup-port managing 2,000 requests and resolving200 incidents every month both through theSMAX portal and directly with agents. Thesecond is leveraging the SMAX knowledgemanagement module to automate the distri-bution of regularly changing banking offersand frequently updated procedures to theirbranches which are typically located nearthe main locations.All three SMAX tenants integrate with a busi-ness intelligence solution to build KPI-baseddashboards.SMAX Adding Value Well Beyond IT The customer works with many 3rd parties to of-fer added-value services in their stores, such as parcel pick-up. The parcel pick-up process was typically done between the individual stores and the courier partners. This made it impossible to centrally impose service levels or manage esca-lations. In just a couple of days, the team designed and implemented a SMAX workflow to share the relevant information based on established rules and defined incident categories to allow them to work directly with the delivery company. This enabled the stores to manage the end-to-end process, performance and escalations indepen-dently of HQ and provide a clear and user-friendly service that provided insights and accountability at each step for the stores.A more advanced example of where SMAX has added value is in the pre-approval process for stores expenses. Previously every expense had to go through a manual and paper-based pro-cess, involving sending signed copies by post. The IT team replicated this process in SMAXfor pre-approval. Although the workflow wasrelatively simple, the rules were complex, involv-ing the budgetary amount, type of expense,and different business unit rules and locations.Ultimately, the workflow needed to be integratedwith HR data to establish different authority lev-els by employee. Once completed, the SMAX-powered process proved to be a huge saver,both for the environment as it is now entirely pa-per-free, and time. As the Department Managercomments: “It used to take two weeks to processexpense approvals. Now, leveraging SMAX, wedo it within a day. When you consider we process6,000 pre-approvals every month, you can imag-ine the savings made.” This process is planned toalso manage corporate expenses.Reduced TCO andIncreased ScalabilityHe concludes: “Moving from several ITSM so-lutions and implementing SMAX has reducedour TCO drastically across infrastructure,maintenance, and teams—even with expand-ing into non-IT use cases. It is very reliable andscalable; we have the freedom to create moreworkflows or onboard additional users fasterand with less effort. Section: 6.1 Types Of Corporate ExerciseThis chapter describes the tasks involved in the various types of Corporate Exercises, from the process of requesting corporate exercise ROD, preparation of allotment files to the crediting or debiting of securities into or out of the depositors’ CDS accounts.6.1Types Of Corporate ExerciseThe following are some of the common types of corporate exercises:-a.Dividend and Interest PaymentNote:Bursa Depository will produce the ROD to assist the Share Registrar inthe production of dividend payment. To assist the authorised nomineesin reconciling the dividend payments, Share Registrar is required toinclude the full name of the beneficial owner as stated in the accountqualifier field and the CDS account number on the tax voucher.Dividend payment includes share dividend and cash dividend.b.Rights Issuec.Bonus Issued.Capital Restructuree.Maturity Conversion / Redemptionf.Split Foreigng.General Offerh.Exercise of Warrants / TSRs / Loan Stock / Bondsi.Cross Transferj.Special Issuek.Bulk Transfer.6.2Request For Corporate Exercise ROD6.2.1 The following types of corporate exercises require a request for CorporateExercise ROD to be made:-a.Dividend PaymentB ursa Depository maintains separate codes for Cash DividendNote:and Share Dividend.requestingfor Cash Dividend ROD willRegistrarIssuer/Sharereceive a bank account information file in addition to theROD. The bank account information file consists ofinformation for shareholders who have registered for theirbank account details to receive their cash dividend viaeDividend. In addition to the ROD information, the bankaccount information file will have the shareholder’s bankaccount details, email address (if provided) and mobile phonenumber (if provided). Issuers are to provide electronicnotification either via email or SMS or both upon dividendpayment is made on payment date, to shareholders who haveprovided their email address or mobile phone number.Within 5 working days from the payment date, share registrarto provide to Bursa Depository via file upload through eRapid,the details of shareholders whose bank account number hasbeen rejected by the bank for dividend payment and thereasons for the rejection. Please key-in a separate request if more than one (1) type of media is requested.6.2.6Corporate Exercise ROD can be requested from Monday to Friday, 8.30 a.m. to7.00 p.m., or any other time prescribed by Bursa Depository.6.2.7Any ROD request which falls during the prescribed period and nine (9) market daysafter the prescribed period, must be accompanied by an undertaking letter from the requestor. The undertaking letter must indicate that the requestor is willing to accept unreconciled ROD and indemnify Bursa Depository from any actions arising from the unreconciled ROD.6.2.8In the case of Corporate Exercise ROD, the requestor must key-in the ROD requestat least seven (7) market days before lodgement date.6.2.9The following types of Corporate Exercise ROD will require Bursa Depository toapprove the request:-a.Capital Restructureb.Maturity Conversion / Redemptionc.Split Foreignd.Expiry of PAL/PLOe.Cash Dividend.Note:For (a) to (d), the approval from Bursa Depository is required as the corporate exercise will result in the suspension of the depositors’balances for the particular Issuer.For (e), Cash Dividend ROD request will result in generation of anadditional bank account details file which is only needed for purpose offacilitating cash dividend distribution exercise.6.2.10Bursa Depository to approve the Corporate Exercise ROD request at least four (4)market days before the lodgement date.Note:Once Bursa Depository approves the Corporate Exercise ROD request, the request will then be transferred from eRapid to the CDS.。
