职场商务电子邮件的写作礼仪在商务往来中,使用电子邮件进行联络时,应当遵守一定的礼仪规范,主要包括以下四个方面。

因此,当一位商界人士使用中国内地的编码系统向生活在除中国内地之外的其他一切国家和地区里的中国人发出电子邮件时,由于双方所采用的中文编码系统有所不同,对方便很有可能只会收到一封由乱字符所组成的天书。

因此,商界人士在使用中文向除了中国内地之外的其他国家和地区的华人发出电子邮件时,必须同时用英文注明自己所使用的中文编码系统,以保证对方可以收到自己的邮件。

第四,电子邮件应当慎选花哨功能。

现在市场上所提供的先进的电子邮件软件,可有多种字体备用,甚至还有各种信纸可供使用者选择。

这固然可以强化电子邮件的个人特色,但是此类功能商界人士是必须慎用的。

这主要是因为,一方面,对电子邮件修饰过多,难免会使其容量增大,收发时间增长,既浪费时间又浪费金钱,而且往往会给人以华而不实之感。

另外一方面,电子邮件的`收件人所拥有的软件不一定能够支持上述功能。

这样一来,他所收到的那个电子邮件就很有可能会大大地背离了发件人的初衷,因而使之前功尽弃。

商务邮件的修辞修辞是撰写商务电子邮件最困难的部分。

如果用平常说话的语气,很容易被视为无礼,这是因为眼见为凭,文字用看的往往比用听更容易被放大检验。

因此,撰写商务电邮前,不妨想到此时是面对着对方,而不是面对键盘与屏幕,这样可以让语气温暖一点。

但要记得,书写时要比口语对话再稍微正式一点。

设想对方看了你的信之后可能有的观点,也就是要在别人的思考里思考。

了解对方和你一样都是大忙人,讲重点即可。

多一点体贴,想办法让你的电邮,看起来简短扼要,有亲和力但不失礼。

邮件主题:如果一次要和对方讨论的事情是不同的主题,建议分开不同的电邮传送,也就是说,每封信的主题最好只有一个,这样对方会比较好针对单纯的主题加以回信。

邮件结构:第一段与最后一段是重点电子邮件的撰写,应该掌握由上而下的重点,也就是说,重点在最前面的第一段。

如果信件很长,最好在结尾的部分,再度强调第一段的重点。

要求:主动说出你期待对方做的事情当你想要收件者采取行动时,如果电邮的内容长,在信件的一开始,就说明你的要求。

如果内容很短,不超过一个屏幕可以读完的范围,就直接在信件内容的结尾提出要求即可。

日期:邮件的日期与时间要明确在电邮中提到的日期与时间,一定要具体,你说的下个月或是下周三到底是什么时候?因此最好改成「下周三(如3月7日)」「下个月(如8月)」,时间也要明确,是上午还是下午?是以自己或对方的时区为准?以免双方认知不同而产生误会。

回复邮件:如果你回复对方的来信时,使用对方的主旨回复,让对方知道这是来自于你的回复。

此外,如果想要在主旨点出回复的重点,可以在邮件本文内容里写上「回复主旨:XXXXXX」让对方知道这是回复哪一封信。

风格:检查自己写的电邮时,试试看读出声音,对话式的写作风格轻松但不失礼,而且也比较自然顺畅。

语感:1.采用主动的语气。

让收信者知道,是谁应该来做这件事情。

例如:A.你对这件事情有什么想法?B.有谁可以提供意见给我?看得出来吗?A比B来得主动而明确。

2.动词比名词更有力量。

让我们念念看以下两句话:C.让我们做个计划吧!D.让我们计划这件事情。

在D句里,计划两个字被用在动词的表现,会比C句用在名词有力量。

最后也是最重要的是,当你使用职场的电子邮件对外沟通,就应该谨守商业电子邮件的分寸,不要假公济私,撰写或传送与职场毫无关系的内容,因为在一些你不知情的状况之下,电邮会被保存在企业的公用硬盘或备份档案中。

第一句说明邮件的目的,比如:I'd like to discuss the meeting preparation with you. 表明邮件的目的是商讨会议准备,接下去再展开具体内容。

商务邮件也不宜过长,阐述清楚即可,不需要过多修饰。

4. 注意语气和措辞除了英语不出错,说话的语气和措辞也要格外注意。

同级之间、较为熟悉的工作伙伴之间可以采用非正式(informal)表达,而和上司汇报工作、和客户沟通则需要用正式(formal)用语。

比如提出建议时,非正式场合可以说How is ... for you? Is... ok for you? 正式用语则要说成When would be convenient for you?5. 检查拼写确保发送的邮件不要有拼写小事,却反映出办事的态度,千万不要因为拼写而给对方造成不好的印象。
